There's a moment that sticks with me from my second year as a purchasing admin. The shop supervisor came to my desk holding a worn cutting edge from our Terex shovel, ground down to almost nothing. The Metallurgy Math Most Buyers Skip
I once received a shipment of cutting edges that looked perfect from the outside (surprise, surprise). Under a quick Brinell hardness test, they were 20 HRC lower than spec. Three of them failed within a day.
I'm not an engineer. But after five years of managing inventory, I've learned that a material certificate is worth more than any sales pitch. If a supplier can't provide one, it's a red flag.
Red Flags for Parts Sourcing
In my experience, there are a few signs that a source might be too good to be true. For one, they can't tell you the country of origin. For another, they quote significantly lower prices than everyone else. And if they dodge questions about safety standards, that's all you need to know.

When your finance team questions an invoice, you lose time. When you have to explain to your VP why a “cost-saving” decision actually cost more—you lose face.
Last year, I had a spreadsheet full of numbers. Vendor B was 15% cheaper than our usual supplier for a set of Terex shovel wear parts, and they promised a faster lead time. - Build relationships with suppliers who know their products—and who are honest about their limitations.
This may sound like Procurement 101, but it's surprising how quickly we abandon these ideas when a sales rep offers a discount.
If you're a smaller operation, this might feel like a lot of process. But you can start with just one critical part and build the habit from there.
It took me almost three years and about 200 orders to understand that the most expensive word in this industry is “cheap.” The fundamentals haven't changed—but the execution has. In 2025, with so much information available online, there's no excuse for buying on price alone. You just need to know your thresholds.
