Most equipment buyers focus on the machine. The brand. The horsepower. The reach. They don't think about the 47 other things that determine whether that machine makes money or bleeds it.
I do. Because I've made almost every mistake on this list.

I once rented a Terex 760 backhoe because the spec sheet looked fantastic. Max digging depth with the extendable dipper. Breakout force. Loader capacity. All the fun numbers. Nobody asked the boring question: what configuration actually shows up on the rental trailer? The machine arrived with the standard dipper, not the extendable one. Our trench was deeper than the standard setup could cleanly handle.
We sorted it with a mini excavator on day two. But the schedule slipped, and the extra rental cost $3,400 that nobody had budgeted. The machine was fine. The spec was fine. The match between the two was the failure.
The checklist item: print the job's hard requirements—depth, height, reach, weight—and compare them against the specific machine configuration being quoted, not the prettiest numbers in the brochure. Write "GO" or "NO GO" next to each requirement. If it's a margin call, it's a NO GO.
Step 2: Verify Parts Availability for the Exact Model and Year
Every manufacturer has models they support well in your region—and models they don't. The question isn't "is this a quality machine?" It's "can I get parts for this machine, this year, in this region, within days—not weeks?"
I still kick myself for not requesting parts diagrams before committing to a used crane. The hydraulic cylinder we needed was on a six-week backorder. Six weeks. The machine sat in the yard, accumulating a rental invoice, doing exactly zero work.
Call the dealer. Ask which part numbers for that specific model are routinely stocked. Ask about lead times on hoses, seals, cylinders, and filters—the items that actually wear out. If you hear "we'd have to order it," that's not a firm no. It's a risk. Factor it into the decision in writing.
Step 3: Load Charts Are About Radius, Not Just "Max Lift"
This is where tower cranes get dangerous. When someone calls about a Terex flat top tower crane, the first question is always: "How much can it lift?" Wrong question. The right question: "How much can it lift at the radius I actually need?"
A flat top crane with a 12-ton maximum capacity might deliver that number at a 30-meter radius. At 70 meters, the same crane can drop to 3.5 tons. Two completely different machines in practice. I've watched crews discover this on pour day, when the concrete bucket at full extension exceeded the chart. Nobody reads about that in a brochure.
Before you commit:
- Identify the worst-case lift. Not the average lift. The heaviest thing you'll lift, at the furthest distance you'll lift it.
- Find that intersection on the load chart. Capacity at radius. That number is your answer.
- Add a buffer. Load charts assume controlled conditions. Job sites are not controlled conditions.
If the seller won't share the load chart upfront, that's your answer too. Walk away.
Step 4: Scissor Lift Platform Height Isn't Working Height
Scissor lifts are the most misunderstood machines on any site. The spec everyone quotes—"19-foot lift" or "26-footer"—is the platform height. It is not the height your people can reach from that platform.
I once sent a crew to a 20-foot ceiling with a 19-foot scissor lift. It looked fine on paper. But the work was above the platform—installing conduit on the ceiling, which required reaching upward, plus the fixture hangers ate another foot of margin. The crew couldn't work comfortably or safely. We swapped for a 26-foot model, lost half a day, and paid a larger rental bill.
Rule of thumb: take your actual working height, add 6 to 8 feet (meaning the worker's reach plus their tools), and rent that size. It's cheaper than the alternative.
Step 5: Attachments and Counterweights Are Part of the Order
The machine might come with a standard bucket and standard counterweight configuration. "Standard" is rarely what your job needs.
This is where the small things bite. A mason crew can't set block without a bench scraper—the flat steel tool used to clean mortar off the board. A $15 tool. If it's not on site, four skilled workers stand around doing nothing. I've seen it happen. A crew of four, a $15 bench scraper, and a 90-minute delay. The "small unimportant tool" cost more in wasted labor than the machine rental itself.
Heavy side: counterweights. I once ordered a tower crane with the standard counterweight configuration because nobody verified the lifting plan required a different one. We spent half a day swapping concrete blocks—with a mobile crane we hadn't budgeted for. Check the lifting plan against the counterweight requirement before the tower goes up, not after.
Step 6: Paperwork Beats Trust
Ask for maintenance records, inspection certificates, and the operator's manual before you sign. Not after. Before.
I once accepted a machine with a current inspection sticker. The sticker was valid. The machine passed. Nobody asked to see the actual inspection report. On day two, the boom cylinder was leaking. The rental company claimed it wasn't their issue. The prior inspection report showed pre-existing wear. We had no leverage because we never requested the document.
Federally, crane inspections are governed by OSHA's construction standards (29 CFR 1926.1400 series). That's not a suggestion. Ask for the records, match them to the machine's serial number, and keep copies. A mismatch between the ID plate and the inspection certificate is a liability you don't want.
Step 7: Small Operators Deserve the Same Treatment
Here's the thing I care about most. If you're a small contractor or an independent operator, you've probably felt invisible when calling about rentals or parts. The dealership asks about your fleet size. The volume pricing magically disappears. You get the nuisance treatment.
I started as the small customer. A two-person operation with a borrowed pickup. The suppliers who took my $200 rental seriously back then are the ones I still call today, with orders a hundred times larger. The ones who made me feel small? I stopped calling them. Simple.
Don't accept being treated as insignificant because of your order size. Ask for the same documentation, the same delivery windows, the same parts support. If a dealer acts like you're too small to matter, walk away. There's equipment everywhere. Small doesn't mean unimportant—it means potential.
Common Mistakes That Still Show Up
Even with the checklist, I see the same patterns on job sites:
- Comparing sticker prices instead of total cost. Delivery, insurance, fuel, attachments, and teardown can add 20-40% to a rental. The cheapest quote is rarely the cheapest outcome.
- Treating marketing materials as engineering documents. A brochure photo and a load chart are not the same thing. Read the second one.
- Underestimating the operator. Every spec on this list matters less than the person running the equipment. A skilled operator on an older machine beats a novice on a new one. Always.
- Forgetting the boring stuff. Bench scrapers, pins, grease fittings, levels. The things nobody photographs on delivery day. They still stop a crew cold.
Final Notes
